What is an ERP system in fashion?

An ERP (Enterprise Resource Planning) system is the core business software that manages finance, orders, inventory, purchasing and logistics. In a fashion company it is usually the single source of truth for stock, prices and order status, and it must handle style, colour and size matrices.

How does it work in practice?

When a wholesale order is captured in a digital showroom, by an agent or through a B2B portal, it is typically transferred to the ERP. There it is checked against credit limits and stock, allocated to available or incoming goods, picked, shipped and invoiced. The ERP also handles purchase orders to suppliers, goods receipts, returns, accounting and reporting.

Fashion specific ERPs or modules add features generic systems lack, such as size grids, season and delivery window logic, prepacks, and pricing by market and customer group.

Why does it matter?

Because so many processes depend on it, the ERP shapes what the rest of the business can do. A well run ERP:

  • Provides reliable stock and order data for sales and customer service
  • Ensures invoices, credit notes and payments are correct
  • Feeds other systems such as PIM, B2B portals, marketplaces and analytics
  • Supports compliance and financial reporting

How is AI changing it?

AI is increasingly applied on top of ERP data rather than inside the core system. Examples include forecasting demand for purchasing, suggesting allocation when stock is short, detecting unusual orders or pricing errors, and letting staff ask questions about orders and stock in plain language. All of these depend on clean, consistent ERP data.
