What is a freight forwarder in fashion?

A freight forwarder organises the transport of goods on behalf of shippers, booking carriers, handling documents and often customs clearance.

In short

A freight forwarder is a logistics company that arranges the movement of goods for a shipper, booking space with carriers, preparing shipping documents and coordinating customs formalities. Fashion brands use forwarders to get production from overseas factories to their distribution centres.

How does it work in practice?

Once a factory has goods ready, the brand or supplier, depending on the Incoterms rule, gives the booking to the forwarder. Services often include:

  • Booking sea, air, rail or road freight.
  • Consolidating small orders from several factories into shared containers.
  • Preparing bills of lading, packing lists and customs documents.
  • Customs brokerage and import clearance.
  • Shipment tracking and delivery to the warehouse.

Brands negotiate freight rates and service levels with one or several forwarders, often by trade lane.

Why does it matter for fashion businesses?

Transport costs and transit times directly affect landed cost and whether stock arrives in time for delivery windows. A good forwarder can switch modes when production runs late, for example moving a launch shipment from sea to air. Under FOB terms, which are common in fashion sourcing, the brand selects the forwarder and therefore controls this relationship.

How is AI changing it?

Digital forwarders and visibility platforms use AI to predict arrival times, recommend routing and automate document checks. Machine learning can extract data from commercial invoices and packing lists, and forecast freight rate movements to inform booking decisions.

Common pitfalls

  • Lack of PO-level visibility, so teams know container status but not which styles are inside.
  • Unclear responsibility for customs errors.
  • Choosing on rate alone and ignoring reliability.

Brands should agree clear service levels with forwarders, including booking confirmation times, milestone updates and escalation contacts, and review performance by trade lane each season alongside freight cost.

Frequently asked questions

What is the difference between a freight forwarder and a carrier?

A carrier physically transports goods, such as a shipping line or airline. A freight forwarder arranges transport using carriers and coordinates the related services.

Do freight forwarders handle customs?

Many offer customs brokerage directly or through partners. The importer of record remains legally responsible for the declaration.
