What is product master data in fashion?

The core, authoritative data describing each product, such as identifiers, attributes, sizes, prices and compositions.

In short

Product master data is the core, authoritative data describing each product, such as identifiers, attributes, sizes, prices and material compositions. It is the foundation for EDI, marketplaces, digital showrooms and compliance reporting, so errors in it spread to every connected system.

How does it work in practice?

In a fashion company, master data is created step by step. Product development defines the style, materials and colourways in PLM. Merchandising and sales add prices and seasons. Operations assign GTINs, customs codes and logistics data. The ERP and PIM then hold the golden record that all channels use.

Many brands appoint data owners for each attribute group, define mandatory fields and set rules for when a product is complete enough to be sold or shown in a showroom.

Why does it matter?

Almost every process depends on master data. Good quality data:

  • Allows orders, invoices and deliveries to be exchanged correctly with retailers
  • Ensures accurate labels, care instructions and fibre compositions
  • Supports reporting for sustainability and regulation, including the Digital Product Passport
  • Makes products easy to find and filter in digital channels

A single wrong composition or missing GTIN can lead to rejected deliveries, failed marketplace listings or compliance issues.

How is AI changing it?

AI can help build and maintain master data by extracting attributes from images and supplier documents, detecting inconsistencies and suggesting missing values. It also raises the stakes: AI assistants, forecasting models and search tools are only as reliable as the data they learn from, so many companies are investing in data quality before scaling AI.

Common pitfalls

  • No clear ownership, so nobody is responsible for fixing errors
  • The same attribute held differently in several systems
  • Data created too late for sales and marketing deadlines
  • Free text fields where controlled values are needed

Frequently asked questions

What is included in product master data?

Typical fields include style and article numbers, GTINs, names, colours, sizes, compositions, prices, seasons, customs codes and logistics data such as weight. The exact scope varies by company.

Why is master data important for the Digital Product Passport?

A Digital Product Passport draws on product information such as materials and origin. If master data is incomplete or wrong, the passport will be too, so clean data is a prerequisite.
