What is buying in fashion retail?

Buying is the retail function responsible for selecting products and placing orders with brands and suppliers. Fashion buyers review collections in showrooms and at trade fairs, negotiate prices, minimums and delivery windows, and work within budgets agreed with merchandising, largely deciding what customers will see in store each season.

How does it work in practice?

A buying season usually starts with a review of what sold last time and a budget, often expressed as open-to-buy, broken down by category and delivery month. Buyers then attend market weeks, visit brand showrooms or review digital showrooms, shortlist styles and build orders by colourway and size.

Alongside selection, buyers negotiate commercial terms: wholesale prices, discounts, exclusives, delivery dates, payment terms and support such as markdown contributions. Once orders are confirmed, they track deliveries and sell-through, and decide on re-orders or cancellations during the season.

Why does it matter?

For a retailer, buying is where most financial risk is taken. Good buying:

  • Matches the assortment to the store's customers and positioning
  • Balances newness with proven sellers and carry-over styles
  • Keeps stock in line with budget, protecting cash flow and margin

In digital showrooms, buyers increasingly receive suggested orders that they adjust rather than build from scratch. The judgement about brand fit, trends and negotiation remains firmly with the buyer.
