What is a price list in fashion wholesale?

A price list sets out a brand's wholesale prices and recommended retail prices per product, currency and market for a given season or period.

In short

A price list is the official list of prices at which a brand sells products to retailers, often including recommended retail prices for each market. It is typically valid for one season and one currency. Customer-specific discounts and terms are then applied on top of the list prices.

How does it work in practice?

Merchandising and finance set prices during range planning, based on costing, target margins, competitor positioning and currency rates. The approved prices are loaded into the ERP or PIM as price lists, for example by country, currency or distribution channel, and published in line sheets and the B2B portal.

  • Wholesale price per style or SKU
  • Recommended retail price per market
  • Currency and validity period
  • Channel or customer group variants, such as distributor prices

Why does it matter for fashion businesses?

Prices determine both the brand's margin and the retailer's. Inconsistent prices across markets invite grey market trading and channel conflict, while errors in price lists lead to wrong confirmations and invoice disputes. A clear price architecture across seasons also helps buyers understand the brand's positioning.

How is AI changing it?

Pricing models analyse price elasticity, competitor prices and sell-through history to recommend price points before a season. AI also helps check consistency between markets after currency movements and can generate localised price lists automatically for new regions or channels.

Common pitfalls

Version control and clear validity dates are the simplest safeguards.

Price lists touch almost every system and document in wholesale, from line sheets to invoices. Brands that manage prices in one controlled source and publish them automatically to all channels avoid most of the errors that come from manual copying between spreadsheets, portals and ERP.

  • Multiple versions of the price list in circulation
  • Currency conversions that create arbitrage between markets
  • Late price changes not reflected in orders already placed
  • Recommended retail prices that ignore local market levels

Frequently asked questions

Are fashion wholesale prices the same in every country?

Often not. Brands frequently issue separate price lists per currency or region to reflect duties, logistics costs and local price levels, while trying to limit gaps that encourage grey market trading.

How often do fashion brands update price lists?

Most issue new price lists each season, with continuity lines sometimes repriced once or twice a year. Mid-season changes are usually limited to avoid confusing retailers.
